How to convert a bank statement to Excel without uploading it

Bank statements are exactly the kind of document you shouldn't hand to a random website. Here's how to turn a PDF or scanned statement into a clean, sortable spreadsheet on your own PC, and how to check that nothing was misread.

Getting your transactions into Excel makes it easy to categorize spending, reconcile accounts or hand numbers to your accountant. But many banks only give you a PDF, older statements may exist only on paper, and online “bank statement converters” ask you to upload account numbers, balances and every transaction you've made.

This guide shows how to do it on your own Windows PC with TemaSel, a table-to-Excel app from TemaLab that runs on your PC — your files are never uploaded.

1. Before you start: CSV download vs. PDF

If your online banking offers a CSV or Excel download of recent transactions, use that — it's exact and free. Converting the PDF is for everything else: banks that only provide PDF statements, statements older than the download window, statements from a closed account, and paper statements you've scanned.

2. Add the statement and read it

  1. Download and install the free version of TemaSel (Windows 10/11).
  2. Check Settings > Document language. “Automatic” follows the app's display language; choose English explicitly if your app is in another language.
  3. Drag the statement PDF (or a folder of monthly statements) into the window. Scanned statements and phone photos work too.
  4. Click Read all. Downloaded PDFs use the text in the file; scans are read with OCR.

3. Check it against the original

Click Review. The statement page is on the left, the extracted table on the right. Cells TemaSel read with low confidence are tinted red — check those first, then skim the amounts.

To fix a cell, double-click it, type, and press Enter. If a long description wrapped onto a second line and became its own row, select the upper row and click Merge down.

Withdrawals, deposits and balances such as “3,917.61”, “$1,189.14”, “-387.13” or “(387.13)” are exported as numbers, so you can sum and sort them straight away.

4. Merge a multi-page statement into one sheet

Statements usually repeat the column headings on every page. Choose All pages on 1 sheet before exporting: TemaSel puts every page's table on one sheet, and if a table's first row on page 2 or later matches the first page's header, it's skipped. You get one continuous list of transactions.

Export format with All pages on 1 sheet selected and the note about skipping repeated header rows
“All pages on 1 sheet” skips header rows repeated on later pages.

Then click Export this file. To process a year of statements, add them all and use Export all read files — each statement becomes its own workbook.

The free version exports up to 3 pages with tables at a time, which is enough to test a typical statement. The full version removes the limit.

5. Turn the dates into real Excel dates

TemaSel converts year-first dates such as “2026-10-05” or “2026/10/05” into Excel dates. Month-first dates such as “10/05/2026” and dates without a year such as “Oct 05” are deliberately kept as text, exactly as printed, so a US-style date is never silently turned into the 10th of May. Converting them in Excel takes a minute:

  • “10/05/2026” (month/day/year): select the column, choose Data > Text to Columns, click Next twice, choose Date: MDY and click Finish. (For day/month/year statements, choose DMY.)
  • “Oct 05” (no year): in a new column, enter =DATEVALUE(A2&" 2026") (use the statement's year), fill it down, and format the column as a date.

6. Check the running balance

A quick formula catches almost any misread amount. If Withdrawals are in column D, Deposits in E and Balance in F, with the first transaction on row 2, enter this in G3 and fill it down:

=ROUND(F2 - D3 + E3 - F3, 2)

Every row should show 0. A non-zero value points to the row to compare with the original statement.

7. Limitations

  • PDFs that ask for a password when you open them can't be processed. If your bank offers an unprotected download, use that.
  • Handwritten notes, and pages scanned sideways, can't be read. Rescan with the page the right way up, ideally at 300 dpi.
  • Accuracy depends on print and scan quality, so always check flagged cells and run the balance check before relying on the numbers.
