How to extract a table from a PDF to Excel without uploading it
Excel's built-in import works for some PDFs, but not for scans, and online converters want your file. Here's how to get clean, calculable tables out of text and scanned PDFs on your own PC.
Invoices, price lists, statements and reports often arrive as PDFs, but the numbers are only useful once they're in a spreadsheet. Retyping a 40-row table is slow and error-prone, and pasting from a PDF viewer usually leaves you with one long column of jumbled text.
This guide walks through the options, from the free one that's already on your PC to a way of converting scanned PDFs in bulk — without sending your documents to an online service.
1. First, check what kind of PDF you have
Open the PDF and try to select a word in the table with your mouse.
- You can select the text: it's a text PDF (usually exported from accounting software, a website or Word). The characters are already in the file, so extraction can be exact.
- You can't select anything, or the whole page highlights as one picture: it's a scanned PDF — an image of paper. The text has to be recognized first (OCR), which Excel's PDF import can't do.
2. Option 1: Excel's built-in PDF import
In Excel for Microsoft 365 on Windows, go to Data > Get Data > From File > From PDF, choose the file, pick a table in the Navigator and click Load.
- Good for: a single text PDF with clearly ruled tables. It's free if you already have Microsoft 365.
- Not for: scanned PDFs or photos (there's no text to import), and it's fiddly when you have dozens of files. Tables split across pages often come in as separate tables you need to append.
3. Option 2: Copy and paste
Select the table in your PDF viewer, copy, and paste into Excel. Sometimes this works for very simple tables, but more often every row lands in a single cell, or columns shift wherever a cell is empty. If you use this route, Excel's Data > Text to Columns can help split things back up — but you'll still need to check every row.
4. Option 3: Online PDF to Excel converters
Online converters handle both text and scanned PDFs and need no installation. The trade-offs:
- You have to upload the file to someone else's server. That's a real concern for bank statements, payroll, customer lists or anything covered by a confidentiality agreement.
- Free tiers usually limit the number of files per day or the number of pages, and batch conversion is often a paid feature.
- You typically can't compare the result with the original before you download it.
5. Option 4: Convert on your PC with TemaSel (text and scanned PDFs)
TemaSel is a Windows app from TemaLab that extracts tables from text PDFs, scanned PDFs and photos into Excel (xlsx) and CSV. It runs on your PC — your files are never uploaded. (It goes online only to activate and check a license and to check for updates.) The free version has every feature; exports are limited to 3 pages with tables at a time.
Step 1: Add your PDFs
Drag your PDFs (or a whole folder) into the TemaSel window, or click Add files… / Add folder…. JPEG and PNG images work too.

Step 2: Click “Read all”
Click Read all on the right. TemaSel works through the files in order. For text PDFs it uses the text already in the file; scanned pages are read with OCR. The Result column shows how many tables were found and which method was used.

If your documents are in English, check Settings > Document language. “Automatic” follows the app's display language, so with the app in English it reads English documents.
Step 3: Check the table against the original
Click Review next to a file. The original page is on the left with a blue frame around each table it found; the extracted table is on the right. Select a cell and the same spot is highlighted on the page.

Double-click a cell to fix it. If two columns ran together, use Split column… and click where to split on the page; if a column broke in two, use Merge right. Cells read with low confidence are tinted red so you know where to look first.
Step 4: Export to Excel or CSV
On the right, choose Excel (xlsx) or CSV, and 1 sheet per page or All pages on 1 sheet. Leave Convert numbers and dates for Excel on so that “$1,234.50” becomes a number you can sum. Then click Export this file, or Export all read files for the whole batch.

Each PDF becomes “original name.xlsx” in the same folder (or a folder you choose). Nothing is overwritten and your PDFs aren't changed.
6. Getting a clean result
- Scan at about 300 dpi, straight, with the page right way up. Pages scanned sideways aren't rotated automatically.
- Tables with ruling lines come out cleanest. Tables without lines work too, but a cell spanning two lines may split into two rows — Merge down fixes that.
- Handwriting and vertical text can't be read.
- Password-protected PDFs (a password to open, or editing restricted) can't be processed.
- Accuracy depends on the document, so test the free version on a few of your own files before you commit.
