An Otter.ai alternative that runs on your PC (for recorded files)

Otter.ai is built for live meetings in the cloud. If what you actually have is a pile of recordings, and you'd rather not upload them or count minutes, a desktop app may fit better. Here's an honest comparison.

People usually look for an Otter.ai alternative for one of three reasons: they've hit the monthly minute limit, they're not comfortable uploading confidential recordings, or they only need to transcribe files they already have and don't want a meeting bot. This page compares Otter.ai with TemaMoji, a transcription app from TemaLab that runs on your Windows PC — your recordings are never uploaded.

We make TemaMoji, so read this with that in mind. We've tried to be fair, including where Otter.ai is the better choice.

1. The short version

  • Choose a cloud service like Otter.ai if you want a bot to join live meetings, real-time captions, or shared transcripts your team edits in the browser.
  • Choose a desktop app like TemaMoji if you transcribe recordings you already have (interviews, recorded calls, lectures, voice memos), don't want to upload them, and don't want to count minutes.

2. Side-by-side

Otter.ai figures are from Otter.ai's pricing page, checked on October 27, 2026. Plans change, so check the page for current details.

3. Where your recording goes

With a cloud service, the audio is uploaded and processed on the provider's servers, and the transcript is stored in your account there. That's what makes sharing and live features possible, and for many teams it's fine.

TemaMoji does the transcription and speaker labeling on your own PC. The recording and transcript stay on your disk. Internet is used only to download the transcription model once (about 570 MB), activate your license and check for updates. That matters for interviews where you've promised confidentiality, HR or legal conversations, and internal meetings that aren't supposed to leave the company.

4. Minute limits vs. no hour limits

Cloud services meter usage because every minute costs them server time. On Otter.ai's plans, the cap applies per month and per conversation, so a long workshop or a week of interviews can run into it.

TemaMoji uses your PC's processor instead, so the full version has no minute or hour limit: a three-hour recording costs the same as a three-minute one. The trade-off is speed. Without an NVIDIA GPU, transcription takes roughly as long as the recording (a 32-minute recording took about 36 minutes on our test PC); with an NVIDIA GPU and the optional GPU version, it's several times faster. You can queue files and let them run.

5. When Otter.ai is the better choice

  • You want transcripts of live meetings without recording them yourself first.
  • Your team reads, comments on and shares transcripts in the browser.
  • You're on a Mac or a phone. TemaMoji is Windows only.
  • You need results fast on a slow laptop without a GPU.

If any of those is the main need, a cloud service is probably worth the subscription.

6. Moving your workflow over

  1. Record meetings with the tool you already use (most meeting apps can save a recording; a phone or voice recorder works for in-person meetings).
  2. Drag the files into TemaMoji. Choose the spoken language (English, Japanese or Chinese) or leave it on automatic.
  3. Rename the speakers, fix anything that sounds off by clicking the paragraph to replay it, and export to Word.
  4. If you use Claude Code or the Claude desktop app, the full version can do the transcribing for you (see How to have Claude transcribe a meeting recording).

The free version transcribes whole recordings so you can judge the accuracy on your own audio; exporting and copying cover the first 10 minutes.
